Workforce & Rostering — e-Rostering Software

Co-ordinating surgical services across a new day surgery hub

St. James's Hospital needed an effective way to co-ordinate surgical and anaesthetic staff allocations between its main campus and a new €17.5 million day surgery hub at Mount Carmel.

The challenge

St. James's Hospital developed a new €17.5 million surgical hub at Mount Carmel, incorporating two operating theatres, two minor procedure rooms and outpatient facilities.

Realising the benefits of this investment depended on using the new capacity effectively from the outset — increasing day-case activity, improving theatre utilisation and helping reduce waiting lists.

This created a significant scheduling challenge. Staff and clinical activity needed to be co-ordinated across the hospital's main campus and Mount Carmel, involving Anaesthesia and a wide range of surgical specialties including Orthopaedics, Urology, General Surgery, Breast Surgery, ENT, Plastic Surgery, Burns and Dermatology.

02

Our approach

MedModus worked closely with operational and clinical management at St. James's Hospital to understand how the new facility would operate, the services moving into it and the scheduling requirements that needed to be supported.

Our e-Rostering software was configured around these requirements and adapted as the hospital progressed through its phased implementation of the new service.

This provided the flexibility to support an evolving operating model while maintaining a clear, co-ordinated view of staff and clinical activity across both locations.

03

The solution

MedModus RMS provides a central scheduling environment for co-ordinating staff allocations across multiple surgical services, operating theatres, minor procedure rooms and outpatient clinics.

Scheduling tools including assignment intelligence, offers and bids, and roster warnings support those managing the facility in matching available staff with planned activity and identifying potential scheduling issues.

Configurable notifications also provide clinicians and management with timely communication when schedules change, helping the hospital manage a complex and frequently changing operating environment.

04

The outcomes

The resulting scheduling approach has helped St. James's Hospital make effective use of the additional capacity created at Mount Carmel while co-ordinating clinical teams across two locations.

More than 60 surgical and outpatient sessions are now co-ordinated each week, surgical session utilisation has exceeded 90%, and day-case waiting times have fallen by more than 50% in services including Pain Management and General Surgery.

“Co-ordinating surgical activity across two sites was always going to be challenging. MedModus RMS gave us a single, dependable view of staffing and sessions from the outset, and the scheduling tools have helped the team manage a complex and constantly changing environment. The MedModus team has been responsive throughout, supporting us as the service and its requirements evolved.”
